- Classification: Hourly Non-Exempt
- Hours: Full-time
- Reports To: Parish Administrator
Job Summary:
St. Pius X Catholic Church is a Roman Catholic parish in Billings, Montana, within the Diocese of Great Falls-Billings. It is one of five Catholic parishes in the city of Billings. St. Pius X is committed to helping others develop the five characteristics of dynamic discipleship: believe, grow, gather, love, and lead. The role of the Administrative Assistant is to support the Pastor, the Parish Administrator, and other ministry staff in the execution of their duties, and to provide a welcoming presence to those who interact with the office.
Duties:
- Greet all visitors to the parish office, direct them to appropriate personnel, and/or answer their questions, help them as needed
- Handle incoming calls, transferring as needed
- Manage the Phone System, updating outgoing messages and sending updated information to CONNECT for main messages, staffing changes, and other relevant updates
- Schedule events in all campus rooms/buildings in the Facility Scheduler
- Maintain sacramental records of parish community (Baptism, First Eucharist, Confirmation, Marriages, and Funerals), in both ParishSoft and the church record books
- Maintain ParishSoft census records (new members, demographic changes, deaths, etc.)
- Process incoming and outgoing mail, maintain postage meter, and coordinate bulk mailings.
- Assist Parish Administrator with annual contribution statement mailing
- Assist Bulletin Editor with proofreading the bulletin. Assist staff with proofreading correspondence or marketing information as requested.
- Schedule Mass intentions for the parish
- Process memorial donations
- Maintain key check-out system for volunteers using parish facilities
- Inventory office supplies and order as necessary, and within budget constraints
- Disseminates prayer chain requests as they are received
- Attend weekly staff meetings and take minutes
- Type correspondence as requested by the pastor
- Assist with projects or other tasks as directed by the pastor or the parish administrator
Requirements:
- An active and practicing Catholic who is in good standing with the Church
- High School Diploma and related experience in administrative duties
- Strong verbal, written, and communication skills are a must
- Must be able to communicate effectively with parishioners and other staff
- Strong technological background with software applications including Word, Excel, the internet, and email systems
